Senior Executive, Secretariat

Job Purpose

Primarily responsible to execute secretariat function within procurement that covers Tender and Management Tender Committee (MTC) activities.

Duties & Responsibilities

  • Provide meeting support (i.e. assisting the Chairman to develop agendas, collate and circulate papers, prepare and circulate minutes, etc.) .
  • Organise meetings including all logistics (i.e. meeting invites and venue booking, etc.)
  • Assist and facilitate MTC correspondence/ members and MTC respective matters.
  • Manage mail-outs for communication or circulation for approval.
  • Documentation management (i.e. minutes, deeds, constitutions, terms of reference, etc.)
  • Manage email enquiries.
  • Establish and maintain an online presence (i.e.websites, social media, etc.).
  • Facilitation and coordination of tender submissions.
  • Accountable to ensure that MDEC policies, processes and guidelines are understood and followed.
  • Assumes additional responsibilities as assigned.

Qualifications

  • Minimum 5 years experience in procurement secretariat work. 
  • Degree in Business Administration/ Finance/ Supply Chain Management or other related area.

Technical Skills

  • Good writing and communication skills in Bahasa Malaysia and English.
  • Ability to facilitate and coordinate the requirements of cases/items being tasked under purview of the Secretariat job function.
