Job Description
Core Deliverables

1) Provide general administrative support and administer operational resources & budget for the Division.

-Record and track In & Out documents to/from work unit/s

-Coordinate departmental meetings & activities, including periodic internal learning sessions

-Maintain the monthly leave plan for the Enterprise Function, including Medical Leave and Emergency Leave on daily basis

-Administer and monitor departmental resources requisition & procurement (including IT and office supplies) as well as operational budget keeping

-Maintain all enterprise function facilities in conformance with P-CMM work environment standards

-Ensure the updating of the resources, documents, systems within the work unit/s as necessary

-Coordinate the submission of relevant documentations within set timeline/deadline as per operational requirement (e.g. HCD, Finance, Operations, IT, O&M, Legal, etc.)

2) Provide support to the management and monitoring of projects/committed work for the Division.

-Coordinate the resources for assigned projects/events

-Maintain an internal monitoring mechanism/schedule of all projects assignments/operational commitments as per business plan and declared work priorities

-Follow up and collate progress updates for committed projects/assignments on periodic basis

-Update on status of projects/assignments achievement as well as operational efficiency level per service standards/SLA on periodic basis

3) Maintain the relevant processes, records and data of the Division for reference and management reporting in timely, accurate and efficient manner

-Maintain the inventory of processes applicable to the Division

-Collate data for the data repository of the work units for management reporting and updates on monthly basis

-Manage and update a log of all relevant business contact information

-Reference point for Division’s files and records, policies and process information and established office procedures

4) Provide support to other team members in the Division on a timely, accurate and efficient manner

-To assist and facilitate requirements gathering and implementation of action plans

-Actual tasks to be advised by the respective Head of Division & Department

Qualifications

1) Minimal Experience (2 years)

2) Relevant tertiary education

3) Fresh graduation
